1. Who this policy covers
This policy applies when you visit Answer Act, open an account, contact us or have used our former website demo. In this policy, we means the operator of Answer Act. For account, billing and website enquiries, we decide why and how information is used. For customer conversations handled through your business account, you generally decide the purpose of processing and we process the information to provide your configured service. Your own customers should also receive your business's privacy notice.
2. Information we receive
We receive information you provide, including your name, email, phone number, account details, business knowledge, instructions, files and support requests. Connected channels provide the messages, comments, contact identifiers and attachments needed for the features you enable. We also process usage records, payment references and any proof of a manual transfer you submit. Visits and requests can provide technical information such as an IP address, browser details and security records. Card details are entered with the payment provider; do not send us a full card number or security code.
3. Why we use information
We use information to create and manage accounts, deliver replies and requested actions, connect your channels, calculate usage, process payments and provide support. We also use necessary records to prevent fraud, resolve disputes and meet legal obligations. The legal basis depends on the activity: providing the service you request, complying with the law, or a legitimate operational interest where applicable law permits it. Advertising measurement is separate from the account service. You can stop advertising measurement without losing access to your account or a purchased plan. Accepting this policy does not replace separate consent where applicable law requires it.
4. Customer conversations
Answer Act stores recent conversation content so your agent can understand the exchange and your authorised team can manage it. The amount of recent content retained is limited by the platform's memory settings; older content is removed from the active conversation store. Some transaction and activity records remain separately. Authorised personnel may need access to retained information for service operation, support, security or legal requirements. You are responsible for having the authority and appropriate notices to process the information you connect or upload.
5. Service providers and connected tools
Providing an AI reply can require sending relevant messages, instructions, files or tool results to the model provider selected for the agent. Available integrations can include OpenAI, Anthropic and other configured providers. Hosting, payment, email and connected messaging services also process information needed for their role. Tools you enable may send information to the destinations you configure. Each provider's applicable terms govern its own retention and permitted processing, including abuse detection. We do not promise that every message is reviewed, that providers retain nothing, or that a provider automatically enforces our account rules.
6. The former website demo
The website demo has been discontinued. The homepage now shows an illustrative example that does not collect chat messages or send requests to an AI provider. The former demo collected your name, email, phone number and consent, and an AI provider processed its messages. Choosing End chat & request follow-up, or sending /stop, ended the session and submitted your details and the available transcript to our team through configured email and Telegram channels. That follow-up request did not permit unrelated advertising. Demo contact details and message content remain subject to the scheduled removal from the active demo store after seven days. Copies already sent for follow-up are handled separately.
7. Optional advertising measurement
When advertising measurement is enabled, it starts automatically unless you have stopped it or your browser sends a recognised Global Privacy Control or Do Not Track signal. Enabled partners may receive public-page visits, plan selections, account registrations, the start of a free trial, paid checkout starts and confirmed purchases with their actual value and currency. Measurement can use campaign links, referring sites, advertising identifiers, an IP address, browser details and a hashed email or account identifier. Hashing does not make information anonymous. These events do not include your agents' conversations. Open Advertising preferences in the site footer to stop tracking or allow it again; signed-in users can also stop account-linked measurement in the app. Automatic collection is not recorded as an affirmative consent choice. See the Cookies policy for details.
8. Disclosure and processing locations
Information may be processed in countries other than yours by the service providers involved in your workflow. Any required transfer safeguards, permissions or contractual arrangements depend on the countries and service concerned; accepting this policy does not replace them. We may also disclose information when required by law, in response to a valid legal request, or where necessary to establish or defend legal rights. A business transfer involving the service may involve its records, subject to applicable privacy obligations. Contact us for information about the providers or processing arrangements relevant to your account.
9. How long information is kept
Retention depends on the information and its purpose. Conversation memory uses a message-count limit, not a promise to delete every conversation after a fixed number of days. Account and billing records may remain for the service relationship and applicable record-keeping or dispute requirements. Our advertising attribution context is valid for up to 30 days; this does not determine each partner's attribution window. Stopping measurement ends future eligible reporting and cancels pending events. Limited delivery records can remain for up to 90 days, and a record of your account-level opt-out may be kept to respect your choice. Deleting active data does not instantly erase backups, connected-platform records or copies already held by recipients.
10. Your requests and choices
Subject to applicable law, you may request information about processing, access to your personal data, correction, deletion, restriction, portability or an objection to processing. You may withdraw consent without affecting the lawfulness of earlier processing. Submit requests through the contact details on this site and identify the account or interaction concerned. We may ask for information reasonably needed to verify your identity or authority. If you are a customer of a business using Answer Act, contact that business first; we can assist it with requests concerning its workspace. You may also complain to the competent data-protection authority or seek available legal remedies.
11. Children and policy updates
Answer Act is intended for business account holders with legal capacity to contract. The former website demo was not intended for children. If you believe a child has provided personal information, contact us so the situation can be reviewed. We may update this policy when the service or legal requirements change. Material changes will be brought to your attention where required; new consent will be requested where necessary. Last updated: 25 October 2026.
